Invoice creation and printing is an essential part of your company's QuickBooks accounting software. When QuickBooks stops printing invoices, your company's day-to-day activities can be negatively affected. Several potential solutions to printer problems are available, including changing the default printer in QuickBooks, clearing your Web browser's temporary Internet files and taking advantage of Intuit's Print and PDF Repair tool.
Test Printer
Before proceeding with QuickBooks-specific solutions to a non-responsive printer, verify that the printer is working properly outside of QuickBooks. Turn the printer off, restart your computer, and then turn the printer on again. Verify that there is paper and toner in the printer. Print a test page. If other applications can print to the printer, then proceed with QuickBooks-specific solutions.
QuickBooks Print and PDF Repair Tool
Intuit has developed a Print and PDF Repair tool designed to help diagnose physical and digital printing issues. It is available for free as a downloadable EXE file (link in Resources). One of the things the tool does is rename your Qbprint file, which is the file where QuickBooks stores all of your custom settings. If the old version of this file becomes corrupted or otherwise compromised, renaming it enables you to recover your original settings.
Switch Printers
If your company has a second printer on its network, you can make this second printer the default print device in QuickBooks until problems are fixed with the other printer. To change your printer in QuickBooks, click 'File' on the main menu and select 'Printer Setup.' Click the 'Printer Name' pull-down menu and select the printer you want to use.
Clear Temporary Internet Files
Because some versions of QuickBooks run in your Web browser, problems with your browser's temporary Internet files can sometimes cause QuickBooks to freeze or hang when attempting to process a print job. To clear your temporary Internet files, launch Internet Explorer, click the 'Page Tools' icon and click 'View on the desktop' to switch IE to Desktop Mode. Click 'Tools,' click 'Internet Options' and then click 'Delete' under the Browsing History heading. Remove the check mark from the 'Preserve Favorites and Website Data' field. Place a check mark next to the 'Temporary Internet files' field, then click 'Delete.' These instructions apply to Internet Explorer 8 or later running on a Windows 8 computer.
